Debt Ledger: Keep 'Who Owes Whom' Clear and Friendly

Money between friends gets awkward when nobody's keeping track. Here is why Debt Ledger matters and how to record IOUs, loans and split expenses without the tension.

A ledger tracking shared expenses

"I'll get you back next time" is where a lot of small resentments quietly begin. When nobody's tracking who paid for what, friendships and flatshares pick up little frictions that add up. Debt Ledger keeps money between people clear and unemotional - so you can be generous without keeping score in your head.

Why a clear record matters

Vague memories of who owes whom lead to awkwardness and unfairness. One person remembers lending forty, the other remembers thirty. Someone paid for the taxi, but was that before or after the dinner they also covered? A simple, agreed record removes the guesswork: everyone can see the same numbers, settling up is straightforward, and money stops being a thing you avoid talking about.

Most of us already keep some kind of record - a note that says "Tom 40", a message thread scrolled back three weeks, a spreadsheet someone started on the first day of a trip and nobody updated after the second. The trouble is that none of these carry the context: when it happened, what it was for, and whether anything has been paid back since. Debt Ledger gives each amount proper fields, so the story behind the number is never lost.

Three modes for three different situations

When you create a Debt Ledger room, you choose a mode. The mode is locked once the room exists, because each one comes with its own permissions and member rules, so it is worth picking the one that matches the real situation before you invite anyone.

  • Solo - a private record only you keep. Ideal for the casual amounts you would rather not make a whole thing of: the twenty you fronted a friend, the concert ticket you bought for your cousin.
  • Contract - a one-to-one agreement both sides accept. The terms, the date and the acceptance are fixed when the room is made, so nobody rewrites the deal afterwards. Use it for the serious loan with a date on it.
  • Group - for costs shared across several people, with a per-share settle-up. Built for trips, flatshares, clubs and any table where the bill gets split.

Everyday situations it handles well

A weekend away with friends is the classic case. One person books the apartment, another pays for fuel, a third covers the big supermarket run and dinner goes on whoever reaches for their card first. In a Group room, each cost is added with who was in on it, split evenly or by exact amounts, and everyone sees a net balance. At the end of the trip, the settle-up tells you who pays whom - no calculator, no long message thread.

A shared apartment works the same way over a longer stretch. Utilities, the internet bill, cleaning supplies and anything bought for the flat go into one room, and each person marks their own share paid. The balance is always current, so the question "do I owe you anything?" has an answer in seconds.

Then there are one-to-one loans. When you lend a sibling money for a deposit, a Contract room records the amount and the date in a form you both accepted. Repayments are logged as they come in - a part payment or the whole thing - and the running balance updates itself while the history stays untouched.

How to set it up

  • Create a Debt Ledger room and choose Solo, Contract or Group based on who is involved.
  • Give the room a clear name - the trip, the flat or the person - so it is obvious what it covers.
  • Add each amount with a date and a short note saying what it was for.
  • For group costs, choose who shared the cost and split it evenly or by exact amounts.
  • Log repayments as they happen, including partial ones, so the balance stays accurate.

How to use it best

  • Pick the right mode up front: Solo for a private ledger, Contract for a 1:1 agreement, Group for shared costs.
  • Log amounts as they happen, while everyone remembers the details.
  • Add a short note to each entry so the reason is never in doubt.
  • Settle up regularly to keep balances small and relationships easy.
  • Keep one room per trip or household, so old balances do not bleed into new ones.

Common mistakes to avoid

The most common mistake is waiting until the end to write everything down. By then details are fuzzy and the conversation becomes a negotiation. Adding the expense at the table takes a few seconds and saves the awkward part entirely. The second is choosing the wrong mode - since the mode cannot be changed later, a quick thought about whether this is a private note, a two-person agreement or a group split pays off. And finally, forgetting to record repayments: a ledger that only tracks what was lent will always look worse than reality.

It is a record, not a bank. You decide what a debt is worth and how it gets repaid - Listub keeps the paperwork straight.

Questions people ask

Does Listub move the money for me?

No. Debt Ledger is a ledger: it records what you type in. It does not connect to your accounts, does not process payments and does not give financial advice. Paying each other back happens however you normally do it, and you mark it in the room once it is done.

Can I change the mode later?

No. The mode is locked when the room is created, because each one has different permissions, member rules and notices. If the situation changes, create a new room with the mode that fits.

Can I share a ledger with the people involved?

Sharing your own rooms is a Premium feature. On the free plan your rooms are yours alone, but you can always join a room that a Premium member shares with you and use it fully - so in a group, one Premium member can host the shared ledger for everyone.

Does it work on my phone and computer?

Yes. Listub runs on Android, iPhone and iPad, plus the web, so you can add an expense at the table and check the balance later on a laptop.
